THE QUICK ANSWER

What to know first

Effective communication starts with an agreed language, responsible contact, update arrangements and a way to flag urgent developments. Keep factual updates and instructions clear, send complete documents through the agreed channel and confirm important decisions in writing. Ordinary chats and legal advice updates are different from formal procedural service; ask which event and record matter for a deadline.

  • Know who gives legal advice and who handles routine coordination.
  • Agree how Turkish documents will be explained and whether written advice or translation is included.
  • Forward a complete new notice promptly and obtain confirmation of any requested urgent step.

Agree the communication plan at the start

Identify the responsible lawyer, the routine contact and the channel for each purpose. An assistant may organise appointments or documents while the appointed lawyer provides substantive advice. A clear division of roles helps you direct the right question to the right person.

Record the working language, time zone and normal contact arrangements. Ask how updates will be provided, such as after a material event or at an agreed reporting interval. A realistic plan is more useful than an undefined expectation of constant availability. Tell the team if your email, phone, address or authorised contact changes.

Make language arrangements explicit

Explain the language in which you need advice and the level of explanation you expect for Turkish documents. Ask who will provide an oral explanation, a written summary or a translation, and whether each service is included. These are different deliverables.

A short explanation can help you understand a development without being a certified translation for an authority. If a document must be filed or used formally, its translation requirements need a separate check. Do not treat a machine translation as a reliable final account of a technical document or a deadline.

Where an interpreter or another adviser participates, clarify their role, access to information and cost in advance. The relevant people should understand who the client is and who may give instructions.

Use each channel for an agreed purpose

WhatsApp can be convenient for an initial enquiry or agreed coordination. Email or another agreed system may be more suitable for a structured report, complete document set or retained instructions. Ask which channel the lawyer monitors for time-sensitive material and how receipt is confirmed.

PurposeWhat to agree
Appointments and coordinationContact person, channel and time zone.
Substantive adviceMeeting, oral explanation, report or opinion within the agreed scope.
DocumentsSharing method, complete versions and any original-delivery needs.
InstructionsWho can approve a decision and how it is recorded.
Urgent developmentsEscalation route and confirmation of accepted action.

Where written work is included, confirm the delivery email or other agreed destination. An appointment confirmation should not be mistaken for the legal assessment itself.

Send updates the lawyer can use

Start with the matter reference and a short statement of what has changed. Give dates, identify the people involved and attach the complete relevant record. Distinguish a new fact, a question, a proposed instruction and an approaching date. This makes the significance easier to assess.

For example: “Matter reference X. I received the attached notice today by courier. The envelope and all pages are included. Please confirm whether you can review the timing and advise on the next step.” Do not invent a deadline or assume that a message has transferred responsibility for action.

Use consistent file names and identify revisions. Avoid sending separate fragments without context where a complete document can be supplied. For a larger file, prepare a short index and explain what is new.

Understand progress reports and response arrangements

Ask for the current stage, the last material development, the next dependency and any action needed from you. A helpful update may explain that the matter is awaiting a court, authority, expert or third party. Clarify whether a date is fixed, provisional or only an estimate.

Agree how follow-up questions are handled. A simple factual query, further document review and a new written opinion may involve different amounts of work. If communication needs increase substantially, discuss whether the service scope or reporting arrangement should change.

If an expected update does not arrive, follow up through the agreed route with the reference and the question you need answered. Keep a record of important communications without assuming every unanswered chat has the same urgency.

Urgent documents and formal notices

Keep a new notice, its attachments and the record of how and when it arrived. Forward it promptly through the agreed route. Ask the lawyer to assess the procedural position and confirm whether a requested action has been accepted. A read receipt is not proof that legal analysis or a filing is complete.

Formal electronic service through UETS and ordinary email or messaging updates are different. PTT’s electronic-service explanation is an official reference. Ask which event and record control the relevant deadline; do not use a generic count of days from an informal message.

Protect records and control who receives them

Share only the requested records through the agreed method and identify sensitive material before sending it. The KVKK general principles emphasise relevant, limited and proportionate processing. Ask who needs access and how additional participants will be involved.

Before adding a relative, employee, translator or outside adviser to a conversation, clarify the client’s instructions and confidentiality arrangements. Do not assume a group chat is suitable for every record. Ask about confidentiality and data handling before using public translation or AI tools with case documents.

Keep account passwords and one-time codes private. Independently confirm unexpected changes to payment details or communication addresses.

Record important decisions and resolve misunderstandings

After a discussion, confirm the important instruction, deliverable and next step in a form you can retain. If a summary does not reflect what you understood, raise the discrepancy promptly. Tell the lawyer if a budget, settlement position or objective has changed.

For a continuing misunderstanding, request a focused discussion with the responsible lawyer and identify the specific gap. A change in representatives needs attention to the file, authority, fees and pending dates. The service-agreement guide and case-management guide help place communication within the wider engagement.

YOUR QUESTIONS

Frequently asked questions

Is WhatsApp suitable for communicating with my lawyer?

It can be useful for an enquiry or agreed coordination. Confirm the purpose of each channel, document-sharing method and route for urgent material or substantive instructions.

Does a read receipt mean an urgent step has been accepted?

No. Ask expressly for confirmation of the review or action requested. A message being opened does not establish that a filing has been made or a deadline protected.

Will every Turkish document be translated into English?

Only where the agreed service includes that work. An oral explanation, written summary and formal translation are different deliverables with different purposes.
